We are now ready to accept membership for the 2023/24 season.
Over the last year we have evaluated and decided on a new membership management system. The form and the shop you have used previously has been brilliant but does cause lots of admin headaches in the background and isn't that amazing for you to use to keep track of hockey at the club. This new system should save us all hours of time, which will in turn all us to focus on hockey. Here is a brief rundown of what you need to know:
What is the membership system?
The system is called "LoveAdmin" but just to confuse you, the member facing name of the system is "JoinIn".
It is a reasonably sensible system, in which you register yourselves as a player, a parents and then your kids separately.
You then purchase your kids membership based on their gender and school year, and in the background we add them to a training schedule relevant to their hockey age group.
Registering for the first time
We decided NOT to import all your data the first-time round. This ensures we are not importing people who don't want to be imported and also gives a nice clean up to date set of data for us all towork with. The data we collect, particularly the data about the player, we use to form a number of decisions and is very important to us to ensure we give a great experience.
Therefore, we require you to register from scratch. The great thing about this is that once you've registered, you will never have to fill in basic info again for the life of yours and your child's membership of the club.
It is a bit of a faff, but the least faff we could find and we appreciate you doing this for us this season.
How to register
Everything starts from the clubs JoinIn shop found on this rather ugly looking web url: https://app.joinin.online/#/app/joinin/organisation/shop/6b339d4d-654e-485e-9430-44c8706b7197
As mentioned, it's reasonably self-explanatory as by you navigate to the membership type you require, add it to the basket, checkout (while registering yours and the kids details) then complete a purchase.
It's not completely fool proof and intuitive (I got stuck a few times when doing it myself), but there is normally a logical reason why you can't progress here or there.
Below are a few things to watch out for:
Trials
If you are joining us for the first time or have a new player interested in joining, we would offer you to have a trial for a few weeks. You still need to register but at the beginning of the process you'll choose the "Register for a Trial" option, then complete the registration.
We will add your trialee (trialist?) to the appropriate group and away we go.
Mobile or PC/Laptop
The better experience was when I did the registration process from my laptop, however its fine on mobile too. One of the things we loved about the system is there isn't a separate app, everything just resizes nicely for mobile phones, so using it on your phone is fine. The registration process is just a little more followable on a bigger screen.
Which product to choose
All the products are split per gender and per school year. The system does the work in the background to match this to the hockey age groups.
Please find the product for your child school year FROM SEPTEMBER 2023 and gender. Add to the basket, repeat if you have multiple children and follow the process from there.
Payments
For cost and for ease of taking instalments, we have decided on a payment provider who take bank transfer as a direct debit, instead of taking a debit/credit card.
If you are paying as a one-off payment, you effectively setup a one-off direct debit for the full amount and that will be taken on the 1st of September, or immediately if you complete the registration late.
If you are paying instalments, unlike the last system there is no additional charge and you setup a direct debit which will be taken monthly.
In both cases it is a little weird because you setup a "mandate" with the provider London & Zurich, please don't be concerned this is exactly as expected.
Automated emails
Once you have signed up an automated email will be sent to you by the system, giving specific details for your child's group, how to join the WhatsApp group for their comms and so on. Please check your junk in case it has gone there.
Goalies
If you are a goalie there is a specific product in the shop for you, please purchase that and you'll be added to the age group and goalie training schedules.
Under 18's / Adults
If your youngster isn't so young anymore and they are an Under 18 and/or mainly playing in adult teams, do nothing for now. We will likely have them follow the Adult registration process but further comms will follow.
Volunteers
If you are one of our regular volunteers please write to me separately. We offer a membership discount for those who commit to regularly volunteering to help the club, the sessions and the match teams, we need to deal with your registration in a different way.
Will anything go wrong?
No, nothing can go wrong at all! Or if it does, let's all style it out and make it look like it was meant to happen.
Seriously, the system is brilliant, there will be some trouble doing the initial registration because it's a system and we all have different abilities of using these things. Please persevere with it, it does work, it's just not brilliant at telling you what it's not happy with on your registration/basket/checkout, so will take a bit of working out.
If you are different (don't worry, me to!)
We have a number of members who have special requirements; discounts for other things, sponsorship agreements and others. Please write to myself and Charlie so we can arrange a different registration for you.
Teamo
For older age groups who have used Teamo before, we may still use it for match availability. So don't delete your profile just yet. If you've never used Teamo before or have younger players (under 12 and below) you won't ever have to use Teamo.
Waiting for more info?
There are a few things to confirm for a couple of age groups. If you think you are outstanding information before you sign-up, just hang on a few days and we will be communicating more specific information to each of the groups.
