EGHC is committed to upholding your privacy as a valued member or friend of the hockey club. The personal data about you that we collect is held securely and treated in accordance with this Policy. Whenever you give us Data, you are consenting to its collection and use as explained at the time of collection and in this Policy, including our use of ‘cookies’ (see section 3). We do not process your data (for instance, no profiling takes place) and we do not sell, rent, lease or pass your data to third parties, not even to our sponsors and partners.

Our aim is to keep you up to date with all the latest news and relevant information from EGHC. As a result of being a member you will receive the club newsletter (The Grinner) by email on a regular basis as well as relevant communications from team managers and club officials. You will also receive information regarding the East Grinstead Hockey Club Academy. However if you feel you no longer wish to receive specific email communications from us, you are able to ‘opt out’ of them individually at any time by using the ‘Unsubscribe’ link in the footer of our emails and following the instructions. 2. What personal data do we collect?

As part of the membership sign-up process, we request Data about you such as your name, address, email address and where relevant information about your child(ren) including health information that we are required to collect by law. Other Data such as Job Title (is there other data we currently collect?) may also be requested to help us understand our members.

If you visit an EGHC website (eghockey.co.uk, eghockey.org.uk or eghcacademy.co.uk), your Internet Protocol (‘IP’) address and other information relating to your visit will be tracked to enable us to monitor and improve the information we provide. (see section 3 for more details).

When you order products or services from the website (including Membership, EG Hockey Academy camps, tickets for functions or merchandise) you will be asked for further Data such as payment information.

4. Maintaining the information we hold about you

EGHC aims to keep the Data it holds about you accurate and up to date. EGHC currently has a policy of holding personal data including name and email for a period of 7 years, in line with Accounting Law. We are also aware that a number of members move away from the club for a period of time and return at a later date.

We do however delete personal medical information of Junior Members and participants of EGHC Academy within 12 months of them ceasing to be a Member or attending our Academy.

5. Security

EGHC places great importance on the security of all Data associated with our members and associates. We have administrative, technical & physical security measures in place to protect against loss, misuse or alteration of Data under our control.

Unfortunately no transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal data, we cannot warrant the absolute security of any Data you transmit to us online.

6. Data Subject Access Request

As a Data Subject, any member or friend can request from EGHC what data we hold on them. This information will be provided Free of Charge within 28 days as long as it is not unreasonable or excessive (such as a record of all website interactions for the past 5 years). In the case of the request being deemed excessive, EGHC will communicate with the Data Subject and agree a timetable and cost with them before proceeding.

7. Links to third party sites

The EGHC website may contain links to other sites, provided as a convenience to you. You are under no obligation to use these sites, but if you choose to do so, please be aware that these sites have separate content, privacy and data collection policies. Please refer to these before interacting with the site. EGHC cannot accept responsibility for any use of your Data by these sites.

8. Surveys

EGHC may from time to time invite you to participate in online surveys. Anonymity of individual respondents and protection of personal details will be maintained except where you have expressly granted permission to the contrary. Information gathered through surveys will be researched and compiled on an aggregated basis and results may be published on EGHC website. Such results will not identify you. The information will be used to help us formulate our policy positions and to monitor or improve EGHC and EGHC products and services.

9. Notification of changes

EGHC reserves the right to modify, alter or otherwise update this Policy at any time and users are encouraged to review this Policy from time to time. Any changes to the Policy will be highlighted on the website and the previous Policy will be available on the website for at least six months after the change has come into effect.
